How to plan an event bag order

An event date alone is not a production plan. Prepare pack contents, quantity splits, artwork approvals and delivery details together.

Define the delegate pack first

A bag carrying a catalogue or notebook has different requirements from one holding a bottle, clothing and electronic accessories. Lay out the pack, identify the largest item and approximate total weight, and consider which items people need to reach during the event. Choosing solely from a photograph before pack dimensions are known can lead to later model changes.

Make artwork approval a separate step

Brand colours, application area and artwork may come from different people. Identify the approver and artwork version at the start. Distinguish digital layout approval from physical sample checks. Assess the effect of sample changes on quantity, materials and timing before production begins.

Plan backwards from the event to delivery

Will the bags be packed before the event, sent to another facility or split between addresses? These questions shape the schedule after production. Provide the event date, required delivery date and address separately. Lead time is confirmed after scope and approvals are assessed; a previous project’s timing does not automatically apply to a new order.

Your quotation checklist

  • Pack contents, target quantity and any size split.
  • Artwork, approver and sample expectations.
  • Event date, delivery date and address.

You can start by sharing your use requirements and approximate quantity. We can clarify missing measurements during the project discussion.
